Understanding how to be able to identify your priorities in the workplace and being able to change your project resources around in order to make sure that everything is addressed is a very important way in which should learn to use those project management skills. The right prioritisation of your workload can really mean the difference between the success and failure of your project.
There are a number of different ways that you can learn how to prioritise and shift the focus of your workload so that your time and that of your team is used to the best advantage. Here are just a few tips.
Create a list
According to Parallel Project Training, and many other experts, one of the most important things you should be doing is putting together a comprehensive list. Consider all of the tasks that you need to accomplish, no matter how large or small and then write them up in a list Being able to see them all in one place can really help you to prioritise which tasks you need to complete first and of course which are the most important.
Identify your priorities
Some of the tasks on your list may not be as important as other ones, they may also take less time. Being able to identify those tasks that need doing urgently and also those which will need you to set more time aside is very important. There are some tasks that may have a negative effect on your project if they are not given the appropriate level of priority – these might include such things as meeting deadlines set by your clients and any funding applications.
Understand your capabilities
There is little point in setting out a list that is extensive and organised if you know that you simply won’t be able to complete the items on the list. Prioritising your list means accepting what you and your team are capable of achieving. If you can’t achieve everything that you need to then you and your team will become stressed, you will end up working late which will lead to tiredness and this can often lead to mistakes. The ultimate goal you are looking for it for your project to be a success so if this is not achievable in the timescale you have, say something, get more team members on board – accept that with the team members and timescale you have it is not within your capabilities. This is not an admission of failure but rather an acceptance that for the success of the project more resources are required.
Change isn’t always bad
It is really important to be flexible when working in project management. No matter how carefully you plan there is always the chance that something unexpected will occur that will throw all your carefully planned deadlines and workloads off. Remember this and you should be able to deal with those unexpected issues without feeling like you are compromising on any deadlines you might have.
